Binary Keep: your system, looked after and improved, month after month
Keep: to look after something, and to hold on to it. That's the job. We build the system your business runs on, then we stay. And if you'd like them, your own small team, Binary Clan, works inside it.
No cost, no contract, no sales pitch.
Your OK at every step
-
We spot what could be better
From your system's own errors, from monitoring, and from what you and your staff ask for.
-
You get it in plain English
Each suggestion says what it changes and who it helps, and its size is agreed before you approve.
-
You approve it
Reply to say yes. Nothing is built until you have.
-
We build and test it
-
Your manual is updated
A change isn't finished until the manual is.
-
You see it live
With screenshots of what changed, before and after, and you sign it off.
One approved change, taken all the way through
A new screen, a rule, a report, an export or an import. Small tweaks are bundled together. A bigger change counts as more than one, and we'll say so before you approve it.
A bug in our own work isn't an improvement. We fix it as part of the plan.
Every month includes
- Monitoring, day and night: whether your system is up, whether backups ran, certificates, and errors people are hitting.
- Security updates.
- Fixes to bugs in our own work.
- Answers to your support questions.
- Your manual, kept current.
- An email with screenshots each time something changes.
- Where your system records when jobs change step, a short note on where work waits and what we suggest doing about it.
Binary Clan: your own small team, inside Keep
An optional team of digital assistants that works for your business and nobody else's: a PA, someone on your systems, someone on your marketing and someone on your money. They know how your business runs because they work on your system every day.
Talk to them as you would to a member of staff: in a message or into your phone. They do the work; you say yes before anything changes. Have the ones you need. Some clients just email us their changes instead, and that's fine too.
-
Your PA
Reads the emails, finds the document, chases the reply, keeps the diary straight.
-
Your systems
Keeps an eye on your system and tells you in plain English when something needs you.
-
Your marketing
Drafts the posts, keeps the website current, follows up the people who asked.
-
Your money
Raises the invoices, chases what's owed, and shows you where you stand.
Someone from our systems team, in central Scotland, answers for everything they do. Nothing reaches your live system without your yes.
They have names, faces and voices. You'll meet them on the sofa, at your first session.
Each one is made for your business, so there's nothing to show until we know it.
Joining costs nothing.
Things you might say to them:
- "Can you move Thursday's site visit and let them know?"
- "Why does the booking screen keep timing out?"
- "Draft something about the new vans for next week."
- "Who still owes us from September?"
See where work waits
Your system records when each job moves from one step to the next. We use that to find where jobs stall, propose a fix for that step, and show you whether it helped.
Steps, not people. We report on steps and teams, never a league table of your staff.
Your systems specialist
Your quote screen hit the same error 11 times last week. We can fix the cause and add a reminder for unpaid quotes. OK to go ahead?
Yes, do it.
Approved by you
Nothing reaches your live system until you've said yes
That goes for the Clan as much as for us. You decide how much they can do on their own, and you can change your mind at any time. The four never-automated things stay with a person, whatever you decide.
Some things are never automated
These are always done by a person, deliberately, and never by software on its own.
- Changing your live data
- Passwords and permissions
- Deleting anything
- Emailing your clients
Your data
- It lives in your own system, which we run, watch and back up, and we check the backups ran.
- Only the people looking after your system can see it. The Clan works for your business and nobody else's.
- Nothing is changed or sent without your yes. We look after your data; we never own it.
- Where it's held and who handles it, we put in writing for you before anything starts.
If you ever leave
- Your data comes with you. It was always yours.
- Anything we've built for you is yours once it's paid for, with its manual.
- We help hand it over to whoever looks after it next.
How it's charged
- Binary Keep is a monthly fee, agreed with you before anything starts.
- A build is quoted separately, in writing.
- We talk it through face to face, in your first session. Joining the waitlist and that session cost nothing.
Want it off the public internet?
For firms that handle sensitive work, we can run your system on its own private server, reachable only over your own secure network. Your staff connect through a VPN; it isn't on the public internet at all.
You still get the same monitoring, the same improvements and the same approvals.
Who it's for
- Firms that run on a system built for them, or that should: a spreadsheet that's grown too big, an old system, a process held together by email.
- Owners who want their systems to keep improving, without hiring a software team.
Who it isn't for
If your business runs entirely on a vendor's platform with nothing of your own to improve, we'd be taking your money for nothing. We'll tell you so.
